Nestle Purina VIPurina Day- Virtual Career Fair

Customer success is always our goal; our recent achievement working with Nestle to bring their Virtual VIPurina Day from an idea to actualization was another great testament to the ability of the vFairs team to keep pushing events’ levels of excellence. A Career Fair held on the July 11th, the objective was for Nestle Purina to connect with top young talent across universities to promote an interest to build their professional futures at this reputed organization. Previous strategies involving physical campus based drives were proving too time and cost intensive involving administrative hassles, inefficiency, and overall lack of one-on-one engagement needed to really strike a relationship with the upcoming talent.

With these challenges in mind, vFairs provided a solution that overcame these obstacles using our dynamic virtual platform where the client would host a career fair inviting students, parents and university staff to attend from across an extensive range of campuses simultaneously. The benefits included not only extended outreach, but brand awareness and fuss free interactions – top level management all got a chance to speak about company culture, and establish a very accommodating atmosphere to deliver all the physical event benefits in a more convenient online setting.

Highlights

1) Use Webinars for Memorable Introductions: The virtual career fair provided an auditorium with scheduled sessions from the Chief Human Resources Officer and Direct of Talent Sourcing. How does this help? In a physical setting, it would be next to impossible for such high level management to attend every campus event Nestle Purina targeted for talent acquisition. The webinar helped the HR executives in not only making more impactful personal introductions but also welcoming attendees, and communicating what makes Nestle Purina and their corporate environment better than the rest.

This focused interaction with HR heads made it easier to for visitors to strike a connection, get excited, and cultivate genuine enthusiasm towards being a part of an organization so invested into their employees. Even better- visitors unable to join the sessions at announced timings always have an option to come later and replay the webinar to still gain valuable information.

2) Corporate  Branding: The client wanted the virtual event to feel very close to their physical set up. Upon entering the event, the lobby was customized with a high resolution image of the company’s actual reception area, including their actual front desk staff. Replicating the look and feel in a virtual setting was done to authentically represent the business brand to ensure that it remained unique with a distinct personality and culture.

vFairs is a highly customizable platform with a range of solutions available to help precisely cater to client’s branding needing so that there is no one-size-fits all approach; all our events are consistently a powerful extension of the message they choose to deliver.

3) Showcase Your Departments: The virtual career fair was organized so that all departments had their separate areas not only providing details of opportunities available, but also allowed sharing of short videos with department heads explaining their values, vision, and objectives to reflect both culture and expectations.

Various departments including Accounting & Finance, Audit, Engineering, Marketing, HR & Safety all had specific booths that could be visited by students to hear messages from department executives, including possibilities, work life and career prospects available.

The virtual career fair communicated clear timings of webinars, with the 12 to 4 p.m. slot dedicated exclusively to visitors learning about entry-level and internship opportunities across departments of their interest. Staff from each department was available to answer questions, share advice, and guide interested attendees on how to apply for the positions.

Furthermore, announcement banners also delivered clear information pertaining to auditorium’s live sessions and the timings that company representatives would be available to speak at the booths.

5) Live Chat: There were chat rooms available not only for different departments, but also one for general information where representatives from Nestle Purina answered queries, and held a very informational Q&A session, thus enabling active knowledge sharing on a grander scale than physical events would permit. The visitors expressed great appreciation for this feature, and were able to walk away with a lot of details and resources to benefit from.

Virtual Open Day Case Study: Masdar Institute of Science and Technology

The Client’s Challenge
Masdar Institute Of Science and Technology
Masdar Institute Of Science and Technology

Masdar Institute of Science and Technology is one of the most recognizable names in the region, with an on-going collaboration with Massachusetts Institute of Technology. Having previously relied on traditional avenues involving use of physical open days to attract potential students and promote programmes, they felt a strong need for change in strategy to conquer more in terms of enrollment, awareness, and branding.

  • Physical open days provided a very narrow window of time within which students could experience interactions with university staff, explore campus life, and assess academic programmmes.
  • This led to the surfacing of more critical problems: Fewer leads, limited communication with university staff, and overall decreased understanding of the facilities the university had to offer were adversely impacting the institute’s enrollment rates.
How did vFairs Help?

With focus on expanding lead generation and overcoming the restrictions associated with physical open day events, vFairs provided Masdar Institute of Science and Technology with a powerful virtual “futureproof” platform that promoted increased enrollment, a more welcoming experience for interested students/parents, and resilience to break free from limited schedules that may not always have been in sync with keen students wanting to explore the prospects of pursuing higher education at this university.

vFairs built a precise technology solution to help achieve higher return on investment with less costs incurred, build better relationships with future prospects, and secure an edge against competitors through visibly improved success metrics in place.

Unparalleled Flexibility:

With no physical presence required from event visitors or admissions staff, the open day solution implemented by vFairs allowed interested students to participate regardless of where they were based geographically or time zone differences (without having to worry about losing their spot due to capacity limitations).

No travel costs or scheduling related burdens boosted lead generation for the institute- the virtual platform allowed the university to now host a virtual open day around the year with valuable delivery of information related to applications, academic calendar, innovation initiatives, etc.

This maintained a consistent flow of visitors without the university confining open days to certain calendar days to experience growth in traffic and lead capturing.

Streamlined Lead Capturing:

Attracting a high volume of visitors was not enough, vFairs provided a customized registration form to help the client precisely capture information that mattered most. This made it very easy to achieve a mini database of prospects with follow-up contact details so that leads could be qualified and pursued further based on their relevancy.

Registration Form

Marketing:

The vFairs team drove marketing success for Masdar Institute of Science and Technology through strategic email shots. Furthermore, we used a mailing list of prospective students to be targeted from across high schools and GCC in general in order to accelerate interest, and fully utilize the increased open day capacity that was now available to educate, engage and interact with the key audience.

With a prospect base of approximately 500 leads generated within 3 months of this virtual event going live, it was obvious that the market efforts had caught the eye of the right audience with tremendous efficiency.

Consistent Communication:

The virtual open day provided consistent communication channels to communicate with the university admission staff; the clearly marked “Contact Us” call to action option takes the user to a form where they can submit their question in order to be contacted by relevant personnel to help find the right answers.

There is never a disconnect with your audience which makes running a yearlong virtual open day event a very viable option to pursue.

Audience Engagement:

The information shared in an institute’s s physical event setting has limited influence; curriculums are ever-changing, academic calendars being updated, and new scholarships/grants being frequently announced. vFairs enabled the client to share the most updated insights with their target audience so there was an incentive and proactive interest captured for the students to regularly visit the platform for news.

Virtual Open Day Results?

vFairs was able to provide Masdar Institute of Science and Technology with an innovative technology solution to achieve a virtual open day platform that delivered great results across all performance pillars- leads, cost, efficiency, marketing, branding and seamless flow of communication to ensure all interested visitors got the answers they were seeking from the university.

  • Powered with branding that remained true to the institute’s identity, the vFairs team delivered a successful open day event that will remain in session throughout the year with no time, space, or geographical limitations to encourage widespread student interest and participation.
  • With an estimated 500 leads secured in the first three months, this statistics itself are proof of a transformation partnership that vFairs has established with our client to simplify high quality traffic generation, meanwhile securing a competitive edge against other institutions by hosting an open day that never closes doors for its guests.
  • Reduced cost-per-lead means higher ROI and budget utilization; virtual events are dynamic, customizable and pocket-friendly to accommodate every institute’s needs regardless of their financial resources so that everyone has access to technology to break away from frustrating physical event based efforts.
  • The interactive platform is rich with information and media to provide details of the institute’s culture and campus life, alongside providing easy access to engage in dialogue with the admissions team from the comfort of one’s home.

Hosting Your First Virtual Event: Advice and Tips

With the increasing popularity of virtual events, it is not surprising that businesses, universities, government institutions and other entities are all transitioning away from physical venues to connect with their target audience in virtual settings. Vendor selection can be challenging especially if you are planning your first virtual event, but based on our advice you will be well on your way to asking the right questions, and making well-informed decisions.

1) Research Vendors with Strong Event Hosting Experience

With many new solution providers entering the industry, you want to choose a vendor that has worked with a diverse range of top organizations, executed a wide range of virtual events, and can provide you with one-on-one customizations that best match your event requirements.

vFairs has worked with leading powerhouses ranging from Starbucks, YouStudy.com, WayUp and VeteransConnect– with experience hosting job fairs, career fairs, networking events, and university open day events, we know exactly how to guide our clients and continuously innovate to meet their targeted KPIs.

For example, if you are planning a virtual job fair, vFairs will particularly focus and educate our client on acquiring job related data from the participating companies to make information exchange seamless, in addition to providing CV parsing solutions to aid employers in recruitment.

2) Prioritize a Mobile-Friendly Event

With over 60% of event traffic coming through smart phones, it is essential that your event works seamlessly in a mobile optimized environment. You do not want to lose visitor acquisition or engagement due to poor technology compatibility- a successful event depends strongly on a responsive design that adapts to all mobile devices without a glitch.

3) Select Reliable Vendors with Dedicated Client Support

Understanding the features, capabilities and potential of a virtual event is an area of discussion that all hosts must educate their selves on. You want to be sure that the vendor is not choosing a one-size-fits-all solution for you, and is instead going to deliver customized instruction across all phases from booth design, event layout, and marketing- in addition to delivering flawless execution.

Compare vendors to find the best technology and operations support so that they keep you proactively involved in the process, yet can independently manage the event planning and implementation without you having to oversee the set up every step of the way.

vFairs assigns dedicated project managers to all our clients as key point of expertise so that all concerns are promptly addressed, objectives met, and you can run your event with the best support team in the business.

4) Decide How Interactive Your Virtual Event Will Be

There’s a lot more to virtual event planning than defining timelines and budgets; you want to attract, excite and engage the visitors to leave the intended impact. Discuss if you want textual, voice or video chat based functionality. Perhaps you want to go a step further and have a live webinar to address audience questions or share market insights. Pondered over how important is a multilingual platform to you?

Be specific with how you choose to communicate with your visitors so that your virtual event is remembered by all participants for all the right reasons.

5) Find Vendors That Help Measure Success

The vendor of your choice should not only excel at delivering a fantastic virtual event, but provide reports that measure the impact of your initiative on your audience. Determine your KPIs in advance, for example: unique visitors, visits per booth, or job applications received for every position advertised. Measuring success is pivotal to determine the ROI- discuss with the vendors how they can help you monitor visitors, downloads, video plays, chats, conversions etc. before you finalize your decision.

Planning your first event can be an intimidating step for many, but with over 7 years of expertise in this domain, we want to provide you with advice to ensure that you too can make use of these dynamic technology platform to achieve results like never before.

VeteransConnect – Virtual Job Fair for Veterans & Military Professionals

The latest addition to our extensive list of successfully executed job fairs is “veteransconnect” – an event organized as partnership across U.S Veterans Magazine, VetJobs and Professional Diversity Networking to connect US veterans with jobs to help them transition to the active workforce. With this goal set in mind, the team at vFairs planned and powered the technology to deliver a unique virtual job fair bringing together 22 of the most influential employers, in turn enabling them to find talent from a pool of qualified veterans eager to secure employment. With results that extended to more than metrics, highlights from the event included:

1) Country Wide Employer Participation

The employer network consisted of industry leaders such as Walt Disney Company, Cedars-Sinai and Xcel Energy- a proof of the diverse range of hiring companies in attendance from across the country. The ability to virtually connect with job seekers based across the United States, and advertise vacancies based in different regions, made it easy to be remain inclusive towards all job seekers in order to deliver equal benefits and opportunities. No need to travel, staff physical booths, or invest in branding was a great cultural and financial shift for all exhibitors.

Their custom branded booths remained content-rich, user-friendly, meanwhile cutting their collateral expenses to experience much more cost-effective company promotion, alongside hiring advantages.

2) Event Reporting and Analytics

Physical events have slow reporting mechanisms, and analytics involve use of cumbersome surveys to measure results. vFairs provided the client with multiple, real-time reports to break down both exhibitor and attendee behaviors. The platform measured all activity from visitors, tab clicks, booth and hall views, so no action went unnoticed. vFairs allows capturing of all event performance based on two reporting interfaces:

– We can install our own analytics script: The full reporting capabilities of Google Analytics including traffic, unique visitors, audience demographic and device usage statistics can be made available event administrators.

– The other interface is the vFairs Backend Report: Event administrators have access to a vFairs reporting panel tracking event registrations, traffic statistics, booth visits, document and video views, job applications, chat sessions, webinar registration and participation. These reports can be exported to CSV/Excel formats for ease of exchange and distribution.

3) Maximum Engagement with Minimum Disruption

All job fairs are based around the same activity- job seekers will go around asking about vacancies, inquiring about company culture, and express interest in submitting their CVs. The virtual job fair breaks this traditional approach- the virtual booths all have clearly displayed information regarding corporate environment, objectives, and available vacancies. No repetitive exchange is needed by company representatives for every new job seeker they interact with. There is even a video vault to see promotional footages by employers showcasing their culture.

For veteransconnect, all booths had clearly mentioned chat timings during which event attendees could inquire about other details not already provided. Audio, video and textual chat capabilities are a standard feature for all events to drive communication, and a more intimate setting to still enable 2 way exchange between employers and job seekers. Moreover, company staff can choose to answer questions in a general group, or initiate one-on-one chat with a candidate of their selection to benefit from zero disruption when short listing talent.

4) Vacancy Popularity & Employer CV Search

To see the level of candidate interest in vacancies is easy- event hosts had the option to see opportunities posted by booths, and CVs received for them. Searches based on job title can also be done.

Also, a search resume interface mirroring event registration fields was enabled for allow employers so that they could search based on name, email ID, linkedin URL, etc. With hundreds of job seeking veterans visiting various booths and applying for positions, having this search facility (custom designed to match client’s search criteria) to directly find a CV was a much more efficient approach as compared to paper based CV collection or ineffective email exchanges.

The team at vFairs has been keeping busy innovating and leveraging technology to provide the best virtual event hosting solutions for our clients. YouStudy.com has been a new addition to our client roster with an interest in hosting an online education fair that connected Middle East based students with British universities to facilitate increased awareness and promotion of their academic programs.

Keeping this objective in mind, vFairs customized and delivered an entire event between the 26th to 28th of April 2016 that allowed Middle East based prospective students to not only explore their higher education options in Britain based universities, but also enabled universities powered with our custom designed booths to match their intended young audience with academic degrees and programs of interest.

Increased Enrollment

With universities wanting the convenience of targeting the right age group and nationality segments including UAE, Qatari, and Saudi students, vFairs enabled showcasing institutes to meet enrollment objectives by achieving approximately 200-300 leads per exhibitor- a goal almost impossible to accomplish in a physical exhibition setting.

Generating a qualified lead of prospectives that supported both diversity and enrollment goals, the event’s custom registration form streamlined focused data collection so that universities could zoom-in on the students that promised greatest likelihood of attending their campus.

From brochures, application forms, to any tuition structure related items that the students wanted to reference later, these documents could be added to the bag for easy retrieval. Moreover, all contents could be emailed to the user, or shared with multiple recipients for absolute efficiency and ease of sharing.

Continued Engagement

For students that were unable to speak directly to university representatives using the one-on-one chat feature, the “Email Us” option at the booths allowed them to send a personalized message to communicate their questions or concerns to the admissions staff.

Thus, communication channels remained open even when the university representatives had gone offline after the event’s defined hours of operation.

Event Marketing

YouStudy.com availed Bayt.com’s marketing support to reach their intended audience; an email shot was sent to 50,000 users in our database that fit their desired profile including nationality and age. Moreover, banners on Bayt.com were also used to promote the event and attract attention towards driving registration and student attendance.

There is a diverse range of scenarios where live or prerecorded webinars are can be used to amplify the delivery of your message, and make an impact through high quality broadcast that visitors can stream from the comfort of their homes or offices. How? Let’s see a few examples:

Virtual MBA Fair Auditorium
                      Virtual MBA Fair Auditorium

1) Meetings/ Conferences/ Seminars: Uniting a large number of people typically involves logistical, accommodation and hospitality based expenses. Using vFair’s webinars, you can host a live session, or broadcast prerecorded content to ensure that you can maximize event attendance, meanwhile focusing efforts on knowledge building, strategy collaboration, or any other business associated needs you have.

2) Town Hall Meetings: Multinationals often face poor communication related challenges. Departments based in different regions often have low alignment of vision; following up on the status of projects or operations can be inefficient and confusing. A live webinar can solve this dilemma by allowing project or department managers to broadcast necessary information, meanwhile allowing attendees to ask questions in real-time so that ambiguity does not impact productivity.

ITKonekt Job Fair- Why It’s Time to Go Virtual

When you think of hosting traditional job fairs, you think about busy employer booths with representatives struggling to catch a break, the difficulties of managing the distinct needs of all exhibitors, searching for ways to boost branding outcomes, and of course, a lot of expenses being incurred to drive the event from planning to implementation.

Realizing the need to break away from these now outdated avenues, ITKonekt was a recent job fair that the vFairs team worked on to promote employers and available vacancies across the IT domain for our client based in Serbia. From gaming developers to top industry leaders including Microsoft Development Center Serbia having partnered for the event, it was an excellent use of the technology platform to connect with job seekers and search for talent with technology focused expertise. How so? Read on to learn more.

Take Charge of Your Layout

No one wants to be restricted with defined floor plans and physical venue based limitations. This job fair was organized across 4 virtual floors: IT companies, Gaming, Education Institutes, and IT Start Ups. This simplified and extremely well categorized sorting allowed for attendees to focus on visiting exhibitor booths that mattered most to them, making it  easy to find companies based on how the floors were virtually segmented.

Help Your Job Seekers

The platform provided job seekers to search for jobs based not only on title, but also based on the employer booth they wanted to explore opportunities at. This information made it easy for hiring employers to focus their efforts and give more attention to answering concerns for the more active candidates, as compared to the passive event attendees.

Conferences and Webinars

Information sharing and relationship building has never been easier for exhibitors. Very famous companies including LinkedIn and Microsoft had their representatives deliver webinars followed by Q&A sessions scheduled to interact with the audience, reach out in a personal way, and answer questions. No more repetition of details, and the ability to view these webinars at a later time added much needed convenience and outreach success than physical events could allow.

WayUp Career Fair – The Virtual Success Story

vFairs takes pride in providing our clients with the best solutions that unite technology and event management to produce tangible results. Recently having added WayUp to our ever increasing roster of virtual events successfully hosted, let’s embark on a swift journey to see how they were able to benefit from our platform to supercharge their outreach and audience engagement.

Employers Showcased

WayUp provides students and recent graduates with job and internship opportunities at some of the world’s best known companies. This event was organized to help connect these job seekers with very influential names such as BNY Mellon, Fox News, Michael Kors, Twitter/Vine, UPS, Uptake, WayUp, and Xerox that had virtual booths staffed by their recruiters to communicate with visitors. With on-the-spot ability to apply for jobs, event attendees had interaction with HR personnel to discuss any questions regarding available positions, qualifications and skill-sets required.

Client Branding

To avoid the standard one size fits all approach, vFairs provided WayUp with a custom exhibition hall to maintain their identity as distinct as their brand influence. With personalized booth templates, the look, colors, style and feel of the virtual event replicated all branding objectives.

In fact, booths were given special tabs to share video content, and provide documents for download for added efficiency to share information relating to company history, opportunities, products and plans without leaving behind hefty carbon footprints.

Live Webinars

What really makes this event position itself a notch above others is that the most sought after employers: BNY Mellon, Fox News, Michael Kors, Twitter/Vine, UPS, Uptake, WayUp, and Xerox hosted live webinars to connect, communicate and answer job seeker concerns that would otherwise be very time-consuming to address. Furthermore, this video format made the engagement and interaction more valuable by breaking the monotony of impersonal exchanges, or the company representatives addressing the same questions repeatedly to the point of exhaustion.

Replay links were also added so that if users were unable to participate in a particular webinar of interest to them, there was an option to revisit the content at a time more convenient so that they did not miss out on any pivotal delivery of information.

Custom Registration Process

In order to ensure that the event audience remained relevant, and young thriving professionals are attracted to participate, the registration process required interested guests to register using an .edu email address. This confirmed that the right quality of talent was made eligible to come and apply for internships and jobs, and gain access to a pool of opportunities that would prepare them to face the real-world career challenges.

Final Thoughts

With an outstanding pool of employers providing an excellent set of jobs and internships, WayUp was able to accomplish a memorable event with mutually beneficial outcomes for recruiters and job seekers alike. The knowledge gained from webinars, information shared at booths, interactions with recruiters, engagement through open channels of communication, and brand reinforcement from the set-up itself made the experience exciting- it has been rare to have such impressive guest retention statistics despite busy schedules and lifestyles.

We look forward to sharing more success stories, and helping hosts take pride in events that leverage technology, branding, and guest attendance to their best potential.
